Setting Up Activity Selection

Learn how to efficiently set up the Activity Selection Module

For Admin and Manager Users setting up Activity Selection for their school.

Activity Selection lets parents and students choose Activities through your school's Clipboard Portal. Setup is simple but flexible — you can provide descriptions of Activities, set limits on numbers, apply year group and age requirements, set selection cut-off dates, and more. Setting up Activity Selection can take just a few minutes.

As selections roll in, you are able to view them in Clipboard in real-time. Selections automatically roll into the Clipboard EMS, meaning there's no need to double-handle, making it easy to place students into teams and groups within activities.

Initial Setup Steps

1. Decide who will be making selections

Activity Selection can be used by parents and/or students. This will need to be done by your Clipboard IT Admin user. They will be able to assist you by setting this up

Set up SSO for the Clipboard Portal

Parents and/or students will use their existing school login to access your school’s Clipboard Portal to make selections. Follow these steps to set up SSO.

Set up Portal Authentication

Enabling Portal Authentication in Clipboard will allow students and parents to use their email and set up a password to access the Clipboard Portal. Follow these steps to set up Portal Authentication.

3. Customise your Portal

Go to the School Branding page and add your preferred school name, colours and logo if you haven't already.

4. Set up Selection Criteria

Create Activity Selection Groups

Go to the Activity Selection settings page and create your ‘Selection Groups’. A Selection Group is a grouping of Activities that are offered for selection. Examples could include Term 2 Co-Curricular, 2022 and Summer 2022/2023. These Selection Groups are what students/guardians see when they log in to the Portal to make selections.

Add Activities for Selection

Add all options for Activity Selection for this Selection Group; there are many customisations you can set up during this step. Take a look and read more here.

Open your Selection Group

Either open the group manually or set a date and time for the selection group to open.

5. Test your Setup

We strongly recommend, at this point, you use a test student or parent account to check your setup and that you’re happy with it. You won’t be able to log in to the Clipboard Portal as you are a staff member, and only parents and students can log in to the portal. You will need a test account for this.

Use our Impersonate feature to view the Activity Selection from a student or parent's point of view. By impersonating their accounts, you can check the following: that the requirements are correct, how many activity selections are in the group, how the image looks and much more. We recommend creating a test student and a test parent account if you wish to test your activity selection payments. Note: All impersonations are real, if you make any actions in a student or parent account, these actions are real. Whilst any selections made can be removed, the invoice cannot be removed from your Activity Selection Invoice’s.

6. Make Selections

Share your Portal URL with those who are making selections, and watch them roll in! Remember, this portal is branded with your logo and colours, so you don’t really need to tell your students and parents/guardians that Clipboard exists!

7. View Activity Selections

Throughout the selection process, you can view the details and progress of student selections. This can be done from the Activity Selection page.

8. Place students into Teams

It's best practice to only place students in Teams after the selection period has closed.

When the selection period has closed, Admins and/or Managers will be able to go to the Teams page and select the relevant Activity along with the date from which selections began rolling using the drop-down filters. You can now begin placing students into their Teams! If you place students into their Teams before the selection period has closed, the student will not be removed from the Team automatically.

FAQ

I have set a date and time for the Selection Group to open, but the status is hidden. Will the Activity Selection still open?

No, if a selection group is hidden, it will not be visible in the portal to parents and students, regardless of whether the Activity Selection is scheduled to open. Therefore, the hidden status will override the Activity Selection's designated date and time for opening.
