How to Accept and Manage New Fixtures from Your Association

This article walks you through the process of efficiently accepting new fixtures, adding required information and managing your fixture schedule.

Understanding Your Fixtures Inbox

Your Fixtures Inbox is the central hub where all fixture changes from your association appear. Only Admin and Manager users can access the Fixtures Inbox. Staff users will only see fixtures after you've accepted and confirmed them.

Key point: Until you accept and confirm fixtures in your inbox, your Staff users, Parents and Students won't be notified about them.

Accepting New Fixtures Walk Through

Accessing Your Fixtures Inbox

  1. Log in to your Clipboard account

  2. Navigate to the Fixtures tab in the main menu

  3. Click the drop-down menu to access your Fixtures Inbox

  4. You'll see an in-app notification showing how many new fixtures are waiting (e.g., "20 new fixtures")

Your Fixtures Inbox is organised into five tabs:

  • New: Fixtures created by your association that need acceptance

  • Changed: Existing fixtures with updates

  • Cancelled: Fixtures that have been cancelled

  • Deleted: Fixtures removed from the schedule

  • Results: Score entries or discrepancies requiring acceptance/resolution

Processing New Fixtures

Available Filters

You can filter your inbox to make processing easier:

  • Activity (e.g., Basketball, Football, Netball)

  • Grade (e.g., Year 7, Year 10, Opens)

  • Round

  • Home and Away status

Step 1: Select Fixtures to Review

  1. In the New tab of your Fixtures Inbox, apply any filters you need

  2. Select all fixtures (or select specific fixtures individually)

  3. Click Review and Action

  4. The review screen will display all selected fixtures

Step 2: Add Required Information

In the review screen, you can add:

  • Location - these are pulled from the association's Compete account

  • Start time (required) - When the fixture begins

  • End time (optional) - Defaults to one hour after start time if not specified

  • Staff assignments - Assign coaches or staff

  • Staff notes - Internal notes for your staff team

  • Student and Parent information (available with Clipboard Core accounts)

Note: The information you're required to add will depend on your association's processes. Check with your association if you're unsure what details you need to provide.

Step 3: Save and Confirm

  1. Click Save to review your changes

  2. The system will show you a summary of all changes you've made

  3. Choose your save option:

    • Save as Draft: Only Admin and Manager users can see the fixtures

    • Save as Unconfirmed: Visible to your wider community but marked as unconfirmed

    • Save as Confirmed: Visible to your wider community and marked as confirmed

Important: If your Staff users can't see fixtures you've accepted, check that they're saved as Confirmed rather than Draft.

Step 4: Send Notifications

After confirming fixtures, you can send notifications to:

  • Staff users assigned to the fixtures

  • Students participating in the fixtures (Core accounts)

  • Parents/Guardians of participating students (Core accounts)

Best Practice: Managing Home and Away Fixtures

If your association requires schools to add location information for home fixtures, filtering by home and away status can significantly streamline your workflow.

Why Filter by Home and Away?

Home fixtures: You're typically responsible for adding location details

Away fixtures: The opponent school usually provides the location

Recommended Workflow for Home Fixtures

  1. In the New tab of your Fixtures Inbox, select Home from the home/away filter

  2. All your home fixtures will display

  3. Select all home fixtures

  4. Click Review and Action

  5. Add location for all fixtures at once (e.g., "Basketball Courts")

  6. Add start time and end time as needed

  7. Click Save β†’ Confirm fixtures

  8. Send notifications to relevant stakeholders

Time-saving tip: If multiple fixtures use the same venue, you can add the location to all selected fixtures simultaneously.

Recommended Workflow for Away Fixtures

  1. In the New tab, select Away from the home/away filter

  2. All your away fixtures will display

  3. Select all away fixtures

  4. Click Review and Action

  5. Add start time (this helps the opponent school confirm timing)

    • If you know the actual time, add it

    • If you don't know yet, you can add a placeholder time and update it later

  6. Do not add a location unless your association's process requires it

  7. Click Save β†’ Confirm fixtures

  8. Send notifications to relevant stakeholders

Note: Some associations handle location details differently. Always follow your association's specific requirements for home and away fixture management.

Viewing Your Accepted Fixtures

Once you've accepted fixtures, they'll appear in your main Fixture List:

  1. Navigate to your Fixtures page

  2. Use the filter where needed

  3. All accepted fixtures will display in your schedule

Making Changes After Acceptance

If you need to modify a fixture after accepting it:

  1. Locate the fixture in your Fixture List

  2. Click on the fixture to open the details

  3. Make your required changes

  4. Important: Any changes you make will appear in the Changed tab of your opponent school's Fixtures Inbox

  5. The opponent school must accept your changes before they take effect for them

Remember: Always provide a clear Reason for the opponent when making changes. This helps the opposing school understand why the fixture was modified and builds trust between schools.

Troubleshooting Common Issues

"My staff can't see the new fixtures"

Solution: Check that fixtures are saved as Confirmed rather than Draft. Only Admin and Manager users can see draft fixtures. Staff users only see confirmed or unconfirmed fixtures.

"I'm not sure what information I need to add"

Solution: Contact your association to clarify their requirements. Different associations have different processes for managing fixture details like locations and start times.

"I need to change details for a fixture I've already accepted"

Solution: Edit the fixture from your Fixtures List, update the required information, and save. This change will flow through to your opponent's inbox for their awareness.

"I accidentally accepted fixtures with incorrect information"

Solution: You can edit fixtures from your Fixtures List. Make the necessary changes and they'll flow to your opponent for acceptance. For significant changes, consider contacting the opponent school directly.

Pro Tips for Efficient Fixture Management

  • Set up push notifications on your mobile device to stay informed of new fixtures

  • Check your inbox daily during fixture season to avoid backlogs

  • Use filters to batch process similar fixtures together

  • Add locations consistently using the same venue names to avoid confusion

  • Include end times when sessions run longer or shorter than one hour

  • Communicate with staff about accepted fixtures since they can't see the inbox directly

  • Understand your association's process for managing home/away fixture details

Understanding Fixture Status

Fixture status at your school level is distinct from association level:

School-level statuses:

  • Draft: Visible only to Admin and Manager users

  • Unconfirmed: Visible to all but marked as tentative

  • Confirmed: Visible to all and marked as finalised

Association-level statuses:

  • Draft: Association is still working on the fixture schedule

  • Live: Association has published the fixtures

Changes flow to your inbox regardless of the association's Draft or Live status.
