Timesheets are automatically created at the beginning of each new Pay Cycle according to what is in the Schedule. However, if you cover for an Activity you don't usually work for, you need to create a Timesheet for an Activity that has a Session that wasn't scheduled, or you need to submit hours in an older Pay Cycle, you'll need to create a new Timesheet.
To create a Timesheet (if you are a Staff user):
Go to Timesheets
Click Create a Timesheet (top right)
Select the Activity and Pay Cycle for the new Timesheet and click Create
Click on the newly created Timesheet and select Add Hours
Fill out the form detailing the hours worked then click Add These Hours
Note: If you create a Timesheet from the dates for the last Pay Cycle, and that Pay Cycle has finished, the Timesheet will be included in the Current Pay Cycle.
If you are an Admin or Manager User, these steps are the same. However you are able to choose the Staff Member you create a Timesheet for - can be for yourself or someone else - and which Pay Cycle the Timesheet should be included in.
FAQ
Does a staff member have to ‘submit’ a timesheet to complete it?
No, staff members do not need to submit their timesheets. Here's how it works:
Staff members should simply add their hours to the timesheet; there is no 'submit' button.
Once the pay cycle has ended, the timesheet's status will automatically change to 'pending manager approval.'
Staff members can continue to add hours to their timesheets until their Manager or Admin has approved them.
Once the Manager or Admin approves the timesheet, it will be locked, and no further hours can be added.
It's important to note that Clipboard will indicate to staff users, managers, and admins if there are still hours to be logged on a timesheet with an orange alert symbol next to the Timesheet.
This system ensures a seamless process for managing timesheets without the need for manual submission.
