FAQ Timesheets: Staff

Some questions asked by Staff regarding timesheets, answered.

1. Can I view my old Timesheets on Clipboard?

Yes, simply use the dropdown menu at the top left of the Timesheets page and select Older Timesheets.

2. How do I know if my Manager has approved my Timesheet?

You can view the status of your timesheets via the Timesheets page on your account (e.g. Pending manager approval or Processed).

3. Can I amend my roster?

No, the Schedule can only be modified by Managers and Admins. Although, you can Add Unavailabilities on Clipboard, which will be communicated to those who can edit the Schedule.

4. Why are my Timesheets for the Last Pay Cycle showing in the Current Pay Cycle?

If you create a Timesheet from the dates for the last Pay Cycle, and that Pay Cycle has finished, the Timesheet will be included in the Current Pay Cycle.

The reason that this happens is so the Timesheet doesn’t slip past the approval stages of the Timesheets process, allowing for Managers to approve, Admins to sign-off, and payroll to process your Timesheet. This means that you will not be paid for the hours you worked in that Timesheet until the Current Pay Cycle has ended.

To avoid this happening, it is best to create a Timesheet and adding hours for those activities while you are still within the dates of that Pay Cycle. As a Staff user, you do not have access to edit a Timesheet or edit the Pay Cycle.

5. How do I add hours after a pay cycle has finished?

If your pay cycle has been approved, please follow these steps:

The Staff member will first need to create a new timesheet before they can add these hours. Either the Staff member can do this, or the manager or Admin can create one on their behalf.

The reason that you cannot add the hours for the current pay cycle is that this date is outside of the current pay cycle dates. Timesheets do not allow you to add hours to current pay cycles with conflicting dates.

The new timesheet created will need to be for the pay cycle, which includes the previous date you are adding, but it will be paid in the current pay cycle. Once created, The staff member or Manager/Admin can add the hours from the previous date to this new timesheet.

In addition, please fill out the rest of the required details, including the date, start and end times, and an explanation for why they worked this Session.
