Applying Department, Activity and Staff specific Timesheets details

Find out how to apply department, activity or staff specific Timesheet details.

This process requires Finance Admin access.

Note: Depending on user permissions, Admins and Managers can also adjust Timesheets Details by visiting the individual Department, Activity, or Staff pages.

Applying your Timesheets details to Departments, Activities and Staff requires you to have set up the fundamental details of Timesheets, such as Pay Cycles, Pay Blocks and Pay Grades. For an overview of the whole process, see How to Set Up Timesheets.

Timesheets Department settings

To ensure seamless integration into your payroll system, you may need to set up Payroll Codes for each Department. These will then appear in your Payroll Exports (depending on your Export customisation).

Timesheets Activities settings

Empower your workflow by selectively enabling and configuring Timesheets for chosen Activities. These details can be set up in Settings > Timesheets > Activities.

Ticking Timesheets enabled for an Activity means that Timesheets will auto-create for that Activity’s sessions.

The Default Pay Grade will get applied if the Staff has not yet been assigned a specific Pay Grade for the Activity.

The Payroll Code is completely optional and is simply used when Exporting Timesheets to track expenditure for an Activity.

Timesheets Staff Settings

In Settings > Timesheets > Staff, you can specify which Staff users are paid on Timesheets. You can also set an Employee ID, which corresponds to the user’s code in the payroll system, and assign a Pay Grade to staff users for each of their Activities, which will determine their Pay Rate.
