Manager and Admin Users may add Student Unavailabilities.
Students and student cohorts often have one-off or recurring times during the school week when they aren't available for a music lesson. Music tutors need to be aware of these times and schedule around them. The Student Unavailabilities feature allows you to enter this information, and the Rotating Schedule will avoid scheduling a lesson for those students at the set times.
It's handy to set student Year groups that, e.g., always attend chapel on Wednesday mornings, and students cannot take music lessons during that time. Use this feature for students with a specific Tag attached to their profile. Or simply search for the student and create an unavailability when they will be available, e.g., at a medical appointment.
Visit the Students Page and navigate to the menu Student Unavailabilities.
This feature is currently available for Rotating Schedules and cannot be utilised when creating Sessions or a series of Sessions.
2. Select whether the Unavailability will be for one occasion or more than one week's Session scheduling.
3. Click applies to, to select the Year group, the Tag affixed to a Student, or search for the student's name.
4. Create a name for the Student Unavailability rule. e.g., Chapel - Year 7.
5. Select if the recurring frequency of the students' unavailability will be weekly or every second week (this could suit schools using a Week A/Week B timetable).
6. Select the day, enter the time period of the unavailability and create the date range the Student Unavailability spans > click Create.
The Student Unavailability will only appear on the same page you are currently on. It will block out those times and be automatically incorporated into determining available times within the Rotating Schedule to schedule their music lesson.
You may delete the rule when it is no longer needed (however, schools may request you keep this information for historical attendance records) or if it is incorrect. If you need to edit the rule, you must create a new one and delete the outdated one.
