Reviewing Timesheets

This article is for managers reviewing staff and coaches sessions logged for a particular activity.

This article is intended for Manager users.

Reviewing Timesheets:

The morning after a Pay Cycle has ended, Managers will receive an email titled Reminder: Review and Approve Timesheets, prompting them to login and approve all staff Timesheets for the Activity that they manage (e.g. Basketball).

Managers can follow a flow which guides them through a review page of each individual Timesheet. Here, they can select Approve and Clipboard will automatically move onto the next Timesheet for review.

Flagged Timesheets:

A Flagged Timesheet will need reviewing by you because the Staff user has included hours worked outside the Schedule. This can occur by adding hours for a Session not in their Schedule, creating a missing Timesheet, or adding extra time outside of a Session's scheduled time (eg. Violin Tuition Session is in the Schedule from 9:30-10am, but the Tutor changes the hours in the Timesheet to 9:30-10:15am).

Any added hours that do not reflect the planned Sessions on the Schedule will be flagged for review. This is indicated by the value Yes in Clipboard’s Flagged column in Timesheets. If a Manager wants to make any changes to these flagged hours, they can easily edit the Timesheet.

To save time, Managers can apply a filter to view only those Timesheets that have been flagged. This makes it easier for Managers and Admins to review anomalies and ensure accuracy. It will also prevent Staff from overstating their hours or attempting to be double paid for two or more Activities.


Moving Timesheets into the Current Pay Cycle


If you have Users who have not yet finished adding their hours, you can add hours on their behalf and then approve those hours. Alternatively, you can move their Timesheet to the current Pay Cycle for consideration in the next cycle's pay.
