What is the 'Minimum Time Payable'?

The minimum time payable feature in Clipboard is designed to ensure that staff members are appropriately compensated for their time, particularly when working multiple sessions within a specific timeframe. By setting a minimum time threshold, employers can define the minimum duration for which a session should be paid.

Understanding the minimum time payable feature in Clipboard is essential for ensuring accurate and fair compensation for staff members. By setting the minimum time thresholds and utilising the locking feature, you can streamline the payroll process while maintaining consistency in applying the minimum time payable rule.

Understanding the Minimum Time Payable:

To comprehend how the minimum time payable functions, let's consider an example scenario. Suppose the minimum engagement period for a shift in sport is 120 minutes, and a staff member, named Charlotte, works a Rugby session for 1.5 hours (8 am to 9:30 am) and then moves on to work in Tennis for 1 hour (12 pm to 1 pm). In this case, because the second session falls outside of the 2 hours of the end time of the first session, Clipboard assumes that the second session also requires a minimum time paid. Therefore, Charlotte would be paid a total of 4 hours. Even though she only worked 2.5 hours. However, if the second session was scheduled less than 2 hours after the first session (e.g 10 am until 11 am), Clipboard's system assumes a minimum time threshold is unnecessary.

The same principle applies to different minimum-hour settings. For instance, let's say the minimum hours rule is set at 60 minutes (1 hour). If the second session occurs within 1 hour of the first session, the system will not apply the minimum time payable rule. However, if the second session is more than 1 hour away from the first session, the system will assume that a minimum of 1 hour is required for the second session.

Setting the Minimum Time Payable for several Activities (Finance Admins only):

If you wish to enable the minimum time payable for specific Activities, you can do so in the Timesheets settings. Follow these steps:

  1. In the table, set the Minimum Time Payable (in minutes) for the Activities of your choice.

  2. Save the changes.

Setting the Minimum Time Payable on a single Activity:

  1. Select the desired Activity.

  2. Click on "Edit" and adjust the minutes to set the minimum time payable.

  3. Save the changes.

Locking the Minimum Time Payable:

To ensure consistency and prevent staff members from deselecting the minimum time payable option, you have the option to "lock" the minimum hours. When the minimum hours are locked, staff members cannot override the system's default setting.

To lock the minimum hours:

  1. Click on "Edit" and adjust the 'no' to 'yes' to Lock the minimum hours option.

  2. Save the changes.

Introducing the Broken Shift Minimum Hours Rule:

In cases where you want to pay two blocks of the minimum time (e.g., two sets of 2-hour minimums), it is recommended to introduce the broken shift minimum hours rule. This rule allows for more flexibility when determining the minimum time payable for consecutive sessions.

Frequently Asked Questions:

I have staff who log Timesheets for two separate Activities, and when their time payable is combined, it doesn't add up to the Minimum Time Payable for one Activity, e.g., 120 minutes. Can they log both Activities under the one 'Minimum Time Payable' threshold for a single Activity?

While Clipboard does not allow multiple Activities to be calculated under one, combined Minimum Time Payable, here is how staff can configure their Timesheets:

  • Settings > Timesheets > Basic Details > Lock Minimum Hours Option: change it to 'No'.

  • Do not assign a Minimum Time Payable to either Activity.

  • Staff will manually change the start time of the first session or the end time of the last session to bring their hours up to the combined sessions' Minimum Time Payable.

  • Managers, Admin, and Finance Users will review those timesheets flagged due to changes in session time. Staff could also include, e.g., the Explanation 'Top-up to 2 hrs', also viewable in the the 'Hours CSV' Payroll Export.
