This process requires Admin or Manager User access. Staff users cannot email Teams unless they are part of an Activity that has granted them this Extra Staff User Access option.
This functionality requires students' and parent/guardians' email addresses to be in Clipboard, so please speak to your IT Admin if your school needs to set up the Student/ Guardian integration.
Teams and Groups are interchangeable terms in Clipboard.
Admins and Managers can easily email students, guardians and staff members within Teams/Groups in Clipboard.
To email all Guardians and/or all Students in a Single Team:
Go to Teams
Use the dropdown menus to select the Activity and Hidden of the Team you're looking for.
Click on the three dots on the right side of the relevant Team row.
Select Email from the dropdown menu. A pop-up will open where the Team you want to email has been automatically selected.
Choose who you want to notify - students, Staff, and/or parents/guardians.
Choose to either Copy Addresses (to be pasted into your own email program, sent from outside Clipboard) or Send from Clipboard (where you can write and send an email directly from Clipboard).
Top Tip: Emailing multiple Teams at once is a great option if you want to contact an entire Activity or Team Category within an Activity!
To email all Guardians and/or all Students in Multiple Teams:
Go to Teams
Click on More (top right)
Select Bulk Email from the dropdown menu. This will open a pop-up that allows you to select multiple Teams across Departments and Activities. You can also choose which recipients and whether you want to email current, planned or older Teams.
Click Open Email
Choose to either Copy Addresses or Send from Clipboard
Note: Copying the email addresses will allow you to easily paste them into the bcc field of your school email.
If you Send from Clipboard, this will add all recipients in a bcc field and send from [email protected], however, it will have the sender's name and email as the Reply-To details.
When you Send from Clipboard, your email will include your school logo, identifying it as official communication between the school and students/ guardians.
The email body character limit for Send from Clipboard is 5000 characters.
You can now easily target specific subsets of Students within a Team, such as by ensemble parts or sports positions, for more focused communications! Ensure that students and guardians receive targeted updates in a timely manner.
To email a select group of Guardians and/or all Students in a Single Team:
Tick the box next to the students' names you wish to email.
Click on the three dots on the right side of the first student you selected.
Select ‘Email X students’ or ‘Email guardians of X students’ from the dropdown menu.
A pop-up will open, allowing you to either Copy Addresses (which can then be pasted into your email program) or Send from Clipboard (where you can write and send an email directly from Clipboard).
