Teams and Groups are interchangeable terms in Clipboard.
To export a list of students, there are three types of Team/Group Exports:
Team Record: This export will provide you with the entire list of all students within a Team for an Activity. It also gives you the option to export the history of when a student was removed from a Team. You can choose to export current, planned, older, or all Teams within a date range. You can also export All Activities at once. This also includes the Activity SIS ID, which can be set up in the settings of each Activity. This is a handy export if you need to extract the Team data from Clipboard and upload it back into your SIS for reporting purposes.
Formatted Team Printout: This is an export whereby all teams of a single Activity are exported into an Excel file, split up by each Team Category on a different 'sheet'. You can choose to export current or planned Teams. You can also export All Activities at once. See the image below:
Number of Teams for Students: Are all students at your school required to partake in an extracurricular Activity? This export shows students and the number of Teams they are in within a Department, e.g. Sport. You can choose to export current, planned or older Teams. This way, you can see students who don't have a Team or perhaps are in too many Teams! You can also export All Departments at once.
To export Team data:
Go to Teams
Click More (top right)
Select Export to Excel from the dropdown menu
Select the Export format and choose the filters
Select the Team(s) that you want to export for
Click Export
You can then print your downloaded Team List/Export!
Best Practices for Managing Team Data
Set Accurate Filters: Always verify date ranges and other filters to ensure they align with your reporting needs.
Empty Teams Before Archiving: Remove all students from a team before archiving it to prevent it from appearing in future exports.
Choose the Right Export Format: Understand the differences between export formats and select the one that best suits your requirements.

Here are the steps to filter data with Excel

How can I access Team Records for a Student who has been removed from a Team and marked as non-current in the SIS?
When a student is marked as 'not current' in the SIS, they are no longer listed in Clipboard. This means that their entire profile, including their Student Profile and Team Records, will be removed from Clipboard.
To view the Team Records of non-current students, you can use the export feature. This allows you to generate a report containing the Team Records of all non-current students, regardless of their status. To do this, follow the Export prompts, select a date range, and you will see 'non-current students' in the Export.
Please keep in mind that if you have hidden any past Teams, you may need to enable the option to show 'Hidden Teams' in order to include them in the exported report.
Is there an export that includes Staff assigned to a Team?
No, team exports are designed primarily to present information about students.
However, to find staff who are currently assigned to a Team for a specific Activity, you can use the Download template with your existing (Activity) teams.' feature.
This option is accessible by following the steps below:
Go to the Teams tab and select Manage Teams (Top right)
Select Upload Team Lists
Select the Activity and click Next
Select to download a template that includes existing Teams in that Activity.
Missing Teams in Exports
If a team does not appear in your export, consider the following:
Date Range Settings: Ensure the date range is set to include the period when the team was active. For example, exporting records for 2025 instead of the correct range (e.g., January 1, 2026 - June 18, 2026) can result in missing teams. Always double-check your date filters before exporting.
Empty Teams: The standard Team Records export excludes teams without students. To include empty teams, use the "Formatted Team Printout" format or adjust filters to include Older or Planned teams.
Archived Teams Appearing in Exports
Archived teams may still appear in exports if students remain assigned to them. To prevent this:
Unarchive the team (if archived).
Open the team and use the "Save and Empty" option to remove all students.
Archive the team again.
Following these steps ensures that archived teams do not clutter your exports, reducing the need for manual cleanup.
Exporting Teams Without Students
If you need to export records for teams without students, use the "Formatted Team Printout" format. This option lists all teams, including empty ones, with blank entries for those without students. Alternatively, you can include Older or Planned teams in your export settings to capture a broader range of data.
