Pay Rules

Find out how finance admins can create and edit pay rules for how staff should be paid relating to the hours worked at the school.

Only Finance Admins have permission to create and edit Pay Rules.

A Pay Rule is a special rule that can be set up to further configure how staff should be paid and how hours worked should be treated.

There are different types of Pay Rules on Clipboard:

Trigger Rule

This only applies after the overtime conditions of the rule have been met. E.g. After 6 Normal Hours in a weekday, count the first two hours as Weekday Overtime Hours. Count the following hours as Saturday Hours.

Hours Split Rule:

Applies if hours worked are across multiple Pay Blocks. E.g. If hours worked are between 5:00 pm and 7:00 pm, and are encompassed by more than one Pay Block, then count all the time at the Pay Block with the highest rate. Note: Each Department can only have one Hours Split Pay Rule attached to them.

Compulsory Break Rule:

Enforces a break in work. E.g. After 5 hours worked, a 30-minute break is compulsory if the activity is within the Sport Department.

Broken Shift Minimum Hours Rule

Requires a minimum amount of hours to be logged for that Activity. E.g. If you work two or more Music Sessions in the same day, a minimum of 2 hours are required to be logged for that Activity.

Elapsed Hours Trigger Rule

What it does

If a staff member's day spans more than 12 hours from their first clock-in to their last clock-out, the award rules say the hours worked beyond that point need to be paid differently (usually overtime). You can now set this up automatically using the Elapsed Hours option in trigger rules, instead of tracking it by hand.

Elapsed hours vs. worked hours

  • Elapsed hours = total time from first clock-in to last clock-out, including any gaps/breaks.

  • Worked hours = the actual hours logged.

Example:

A staff member works 8am–10am, then 2pm–5pm.

  • Elapsed: 9 hours (8am to 5pm)

  • Worked: 5 hours

How it applies

Once elapsed hours pass your set threshold (default 12), you choose how the hours worked after that point are treated — for example, you can set a rule to count them all as a specific pay block. Break time doesn't get paid. This is calculated per staff member, per day.

Note: this rule only switches which pay block applies. It doesn't add extra penalties on top — that's handled separately by the upcoming broken shift allowance rule.

Note: Pay Rules are automatically linked to their corresponding Pay Blocks. You can view them under Rules when you click on any Pay Block.

Pay Rule Coming in Term 3:

A broken shift allowance rule, which will let you also apply a special rate to the earlier hours worked before a break, usable alongside this rule.

To create a Pay Rule:

  1. Go to Settings

  2. Select Timesheets

  3. Choose Pay Rules from the dropdown menu

  4. Click Create (top right). Select the Type of Pay Rule and fill in the details. Save.

To edit an existing Pay Rule, simply click on the Edit/Pencil icon of the Pay Rule you want to edit, make the necessary changes and Save!

FAQ: What is the difference between the highest rate and penalty rate for the Hours Split Pay Rule?

When creating an Hours Split Pay Rule, the highest rate will use the rate for that Pay Grade with the highest dollar amount. The penalty rate will use the overtime rate for that day.
