Attendance Exports

Find out how to export useful Attendance data - student records, roll records, attendance summaries & unmarked rolls!

This process requires Admin or Manager access. If you are unable to complete any of the steps, please check with your Admin.

Clipboard provides four attendance exports that will help you better manage and report on student attendance:

  • Student Records

  • Roll Records

  • Attendance Summary

  • Unmarked rolls

The above four reports can be exported from the Attendance tab. Click 'Export' in the top right and your options will appear.

Follow the steps below to export your attendance records and summary; you can then print the CSV download of the attendance records and summary.

Student Records

This export will provide you with all student attendance records for a specified period of time, including the attendance status and any flags that were recorded. It will export the following data:

  • Student Name

  • Student ID

  • Year Group

  • Team

  • Activity

  • Session Details (Name, Date, Start and End Time, Staff assigned)

  • Attendance Record

  • If it was a Fixture

  • Attendance Flags

What can I use this export for?

This export will provide you with in-depth analytics and reporting for a student or set of students. There are plenty of use cases for it, including providing an attendance report to people outside of Clipboard or easily calculating how many piano lessons to charge a student at the end of the term.

You may also use this attendance export to create a Pivot Table displaying Team or Activity members' present/absent attendance as a percentage of the total Sessions. This comes in handy when following up on absenteeism or when determining students eligible to receive colours or pockets for their contribution.


Roll Records

This export will provide you with the details of specific rolls for a period of specified time, these are all of your rolls that have been marked. It will provide you with the following data:

  • Session Name

  • Activity

  • Date

  • Number Present

  • Number Absent Explained

  • Number Absent Unexplained

  • Marked by (Name, Date, Time)

  • Edited by (Name, Date, Time)

If you select to include student names, you will also see:

  • Names of Students - Present

  • Names of Students - Explained Absence

  • Names of Students - Unexplained Absence

What can I use this export for?

Need an export of every roll marked this term and who was absent/present at each Session? This is great for compliance and duty of care.

Attendance Summary

This export will provide you with a percentage of Present, Explained and Unexplained attendance for each student per Activity, together with the count of each attendance type and total number of Sessions/Fixtures attended, over your specified period of time. It will provide you with the following data:

  • Student SIS ID

  • First and Last Name

  • Year group

  • House

  • Activity

  • Type of Session (Fixture or Session)

  • Present Percentage

  • Present Count

  • Explained Absences Percentage

  • Explained Absences Count

  • Unexplained Absences Percentage

  • Unexplained Absences Count

  • Total Count

What can I use this export for?

This export is particularly useful for determining student awards and reporting on student participation in Activities. Once you have exported this information, you can use formulas on your spreadsheet to calculate attendance data as you wish!

Attendance Summary Grid

This export will provide you with student attendance data in a similar format to the Attendance Summary Grid. It will provide you with the following data:

  • Student name

  • SIS ID

  • Year group

  • Gender

  • Boarder status

  • Number of times a student was marked explained absent, unexplained absent, and present

  • Percentage of present and absent attendance

  • The Sessions or Fixtures where this attendance occurred in a grid format

What can I use this export for?

The format of this export makes it really easy to calculate student colours and awards based on their participation.

Unmarked rolls

This export will provide you with the details of unmarked rolls for sessions within an Activity, Department, and specific time period. It will provide you with the following data:

  • Session

  • Activity

  • Date

  • Time

  • Roll (Team or Student/s)

  • Staff Member

  • Email

  • Mobile number

What can I use this export for?

This export is particularly useful for chasing up staff who have not marked their rolls.

To export Attendance data:

  1. Go to Attendance

  2. Click Export (top right)

  3. Select the Data type, and choose the filters (Time period, Activities, Department)

  4. Click Export

Note: If you want to select an export for a specific Activity, you will need to deselect all Departments before selecting one or more Activities.

If you prefer, you can use the Attendance List tab's filters and customisable columns instead to create a report you'll use often — and export data straight from that custom view!

FAQs

Are Attendance Records removed for students if they are no longer in Clipboard or marked as current in the SIS?

Yes, Attendance records are removed from the Clipboard interface once students are no longer in Clipboard or marked as current in the SIS. When a student is no longer marked as current (e.g., a Year 12 student), their entire profile, including their Student Profile and Attendance records, will be removed from Clipboard.

To ensure accurate tracing and reference, we strongly recommend exporting the Attendance records at the end of each term, season, or year. This will capture the historical data of Clipboard participation and attendance.

However, you can export Student Records for non-current students at any time, regardless of their current status. To do this, follow the Export prompts, select a date range, and check the 'non-current students' box. This will provide an export of past Student Records.

Is there a report that provides an overview of students and the explanation for an Explained absence?

Unfortunately, there is not currently a report available to provide an overview of students (and the Explanation) for an Explained Absence.

Is there a way to create an Attendance Export for an individual student?

Attendance records are for entire Activities or Departments. To quickly view a student's Attendance Records over a period of time, go to the student's profile and select the date range filter under the Attendance section. Options include the Last 30 days, Last 90 days, Last 6 months, and Last Year.

Alternatively, if you are using the Attendance Summary or Attendance Summary Grid exports - when using Excel, you can filter out a singular student by using a filter on one of the two columns depending on the Export.

This can be done by opening up the file in Excel > Going to the Data tab > Filter > Select Column > Entering Student SIS ID or Student name.
