Using the Attendance List

Learn how to view and export data by setting filters to match your attendance record requirements.

Admin and Manager users can view and export data from the Attendance List page.

The Attendance List gives you a flexible, customisable view of student attendance data across your school. Use it to review session records, calculate sessional staff pay, manage billing, and export data for reporting.


Accessing the Attendance List

  1. Go to Attendance (left sidebar)

  2. Select the Attendance List tab


Customising your table

You can tailor the table to show exactly what you need:

  • Add or remove columns using the column customiser (top right of the table)

  • Drag columns to reorder them

  • Switch between compact and comfortable views depending on your preference

Before exporting, use the column customiser (top right of the table) to add or remove columns. This ensures your export contains only the fields relevant to your use case, keeping your spreadsheet clean and easy to work with.

Commonly used columns include:

  • Student name

  • Activity, Department and team

  • Session or fixture date, session staff

  • Attendance status (present/absent / explained / unexplained)

  • Staff member

  • Duration

  • Attendance Flags

  • Cancellations

  • When the roll was marked, duration, SIS ID, homeroom, campus, and boarder status


Filtering your data

The Attendance List supports multi-select filtering across staff and students, so you can construct more comprehensive, targeted reports without relying on search.

Use the filters to narrow your data before downloading. You can filter by:

  • Department, limit results to a specific department

  • Activity, drill into a single activity across all its teams

  • Team, focus on a specific team's attendance records

  • Date range, use custom ranges, smart date presets, or term-based periods (see below)

  • Attendance status, filter by present, absent, explained, or unexplained

  • Year group, useful for compliance or pastoral reporting

  • Campus, for multi-campus schools

  • Staff member, select one or multiple staff members to see all sessions they were assigned to

  • Student, select one or multiple students to isolate their individual attendance records

Combining filters gives you a precise slice of data for your specific purpose.

Smart date presets

Instead of manually entering a date range every time, use the built-in smart presets to speed up common reporting tasks:

  • Last 14 days, useful for recent attendance checks and weekly reporting

  • Last 12 months, ideal for annual compliance and financial reporting

  • Term-based periods, filter by specific school terms

Smart presets update automatically, so the same saved view always reflects the most current data.


How to export attendance data

  1. Go to Attendance in the left sidebar

  2. Select Attendance List or Attendance Summary, depending on the view you want to export

  3. Apply any filters to narrow your data (see filtering options below)

  4. Customise your columns using the column customiser (top right of the table) to include only the data you need

  5. Click Export to download the data as a spreadsheet

Your export will reflect exactly what's on screen, the filters you've applied and the columns you've selected.


Common use cases

Calculating sessional staff pay. Filter by staff member and set your date range to match your Pay Cycle. The table shows all Sessions they were assigned to, whether each was given, and the duration — everything needed to calculate pay accurately.

Reviewing student attendance for billing. Filter by student and Activity, apply a term date range, and review their full attendance record, including Attendance Flags and comments. Head to the Attendance Summary tab to generate invoices once you've confirmed the data.

Compliance and participation reporting. Filter by year group, campus, or boarder status and export the table directly for auditing, or to verify students are meeting participation requirements.
