Creating Teams

This article outlines how to create Teams within each Activity.

This process requires Admin or Manager access. If you are unable to complete any of the steps, please check with your Admin.

Teams, or Groups, are an easy way to manage a collection of students for an Activity. You can use Teams to differentiate between Jazz and Chamber Choirs, or Hockey Open 1sts, 2nds, and 3rds. To create a new Team:

  1. Go to Teams

  2. Click Manage Teams (top right)

  3. Choose either Create Teams without Students or Upload Team lists from the dropdown options.

  • Creating Teams without Students allows you to create a Team and add students later quickly.

  • Upload Team lists allow you to upload a spreadsheet with pre-filled data to create or update Teams. This is great for creating teams in bulk!

Option 1 - Create Teams without Students

  1. Select Create Teams without Student

  2. From the dropdown menus, choose the Activity and whether you want the Team to be current or planned.

  3. Enter the Team Name. Optional: add the staff responsible for the Team, the Category and the Sub-Category (if these already exist).

  4. Click Save (bottom right)

Now you can add Students to the Team by clicking on the empty Team and adding students or by going into Power View and dragging and dropping students into the Team.

Alternatively, you can upload Team lists to update these Teams and add students! Check out our article on Bulk Update Existing Teams.

Lite Tier Schools can only create teams without students. To do so, follow the steps above under Option 1 - Create Teams without Students.

Option 2 - Upload Team lists

This option allows you to upload a Team spreadsheet to quickly create multiple Teams for the same Activity at once.

You can also use this feature to upload Teams with positions pre-filled using Team Position Templates.

To upload Teams in an Activity:

  1. Select Upload Team List (which has your students already placed in a team.)

  2. Select the Activity and whether you want to upload as current or planned. Click Next.

  3. Select to download either an Example Template or a Template that includes existing Teams in that Activity. Click Next. Note: If you download the template with existing Teams, it will consist of the Positions Template used for that Activity. The Example Template will not, and adding positions will override any existing Position Template.

  4. Use the template to create your Teams, replacing the pre-filled data with your own or adding new Teams to the existing list. Save the Import File.

  5. Upload this Import File. Click Next.

  6. Review the Team, resolving any mismatches in data, then Save.

To upload multiple Teams in an Activity:

  1. Select Upload Team List

  2. Select Multiple as the Activity and whether you want to upload as current or planned. Click Next.


  3. Select to download either an Example Template or a Template that includes existing Teams in that Activity. Click Next.
    Note: If you download the template with existing Teams, it will consist of the Positions Template used for that Activity. The Example Template will not, and adding positions will override any existing Position Template.

    If using an example template, please remember to include and fill out the Activity row (as seen below), as this may need changing or adding.


  4. Use the template to create your Teams, replacing the pre-filled data with your own or adding new Teams to the existing list. Save the Import File.

  5. Upload this Import File. Click Next.

  6. Review the Team, resolving any mismatches in data, then Save.

Some Tips and Tricks for Creating Teams:

  • You can use an existing spreadsheet, but it must be in the same format as the Import File.

  • You can create Team Categories and Positions in Teams when uploading the spreadsheet simply by adding that information in before uploading.

  • You can upload team lists with student names in the following formats: ‘First name, last name’, ‘last name, first name’ OR using the student SIS ID.

  • The order in which students and positions appear in the spreadsheet you upload is the order in which they will appear in the Team.

  • You can create multiple Teams at once through either of the above options. However, they must be for the same Activity and either as Current or Planned.
