Selection Locking for Activity Selection

Read about how you can prevent deselection of Activities by students and guardians to ensure the school is aware and has discretion over any changes.

Selection Locking is a setting that prevents students and guardians from removing a confirmed Activity Selection via the Portal. This is useful for schools that want to keep a Selection Group open for new enrolments, while ensuring existing students cannot withdraw from activities they've already committed to.


Who is this for?

Schools running year-long or term-long programs — such as music tuition or co-curricular activities — where confirmed enrolments need to be protected from self-withdrawal.


How to enable Selection Locking

  1. Go to Activity Selection in the left-hand navigation.

  2. Click Setup, then select the relevant activity.

  3. In the Selection Details card, enable the Selection Locking toggle.


Once enabled, students and guardians will no longer be able to remove that activity from their selections after confirming via the cart.


How it works

For students and guardians

After a selection has been confirmed through the cart, the activity will remain visible in the Portal, but cannot be removed. If you need to withdraw a student from an activity, this will need to be done by a school admin directly in Clipboard.

Custom fields

If the activity includes custom fields (e.g. instrument preference, size), students and guardians can still view and edit their responses to those fields even after the selection is locked.

Options (e.g. multiple sessions or days)

If the activity has options, any previously processed selections cannot be deselected. However, students and guardians can still tick or untick other available options until they check out.


Tag-based visibility

If your selection group uses tags to control which activities are visible to certain students, the following applies:

  • If a student has already confirmed a selection, the activity will remain visible in their Portal (even if the tag would otherwise hide it) — but they will not be able to deselect it.

  • If a student has not yet selected the activity, it will remain hidden as expected.


Frequently asked questions

Can a student still see the locked activity in the Portal? Yes. Locked activities remain fully visible in the Portal — students and guardians just won't see a button to remove it.

Can an admin still remove a student from a locked Activity? Yes. Selection Locking only restricts what students and guardians can do via the Portal. Admins and Managers can still manage enrolments directly in Clipboard.

Does this affect new enrolments? No. Locking selections only prevents removal of confirmed selections. Students who haven't yet enrolled can still select and confirm the activity as normal.
