Using Tags to Manage Discounts for Activity Selection

This article outlines how to utilise Tags during the Activity Selection process for students with discounted fees.

Overview

If you take Payments for Activity Selection and have students who shouldn't be charged, follow this article to apply Tags to identify these students. Tagged students won't be charged during Activity Selection, while proper enrolment limits for both regular and discounted students are maintained.

Admin User access is required to set up Tags and Activity Selection Options for students with discounted fees.

Step 1: Create the Discount Tag

  1. Navigate to the left-hand panel to SettingsTags

  2. Click Actions in the top right corner and select Quick Create Tag

  3. Create a new tag to represent the discount (e.g., "100% discount" or "Scholarship Student"). Please note that parents will see this tag name, so choose an appropriate label

  4. Save the Tag

Step 2: Apply the Tag to the Activity Selection Setup

  1. Navigate to the left-hand panel to SettingsActivity Selection

  2. Select the relevant Activity Selection Group

  3. Choose the specific Activity you want to configure within this group

Step 3: Set Tag-Based Eligibility within Activities

  1. For Activities with multiple session options, list each option twice to represent the options for paying and non-paying Students.

    1. Scroll to the right of each option, set the Price to $0 for the discounted option, and give the priced option the amount you wish to charge.

  2. Set the Tag requirements on one option to ‘None of’ the discount/scholarship Tags you created. Students WITHOUT the Tag will see the regular-priced option.

  3. Set the Tag requirements on the other option to ‘All of’ the discount/scholarship Tags you created. Students WITH the Tag will see the discounted price option.

  4. If you know how many Students are eligible for this discounted price, you can set the Number of Places available for each option.

Step 4: Apply Tags to Students

Finally, you can go to the Students page from the left-hand panel, select the students to receive the discount and apply the Tag to their profile. Follow the steps in the How to bulk-add Tags to Students Support Article for more guidance.

Step 5: Check that the Tags have applied properly

Impersonate the student or parent making selections to double-check that these Tags are correctly applied to Students in Activity Selection.

You can impersonate a student or parent by following the steps in the Clipboard Portal Support Article, which are also pasted below:

  1. ​Go to Student List

  2. Search for a student.

  3. Select the student to visit their profile.

  4. To impersonate a student: select Impersonate in the top right corner to view the Portal as the student.

  5. To impersonate a parent: scroll down to Guardians on the Student’s profile, select Impersonate next to the parent to view the Portal as the parent.
