How to use Attendance Flags and Exports to determine Session costs for students

This article has valuable tips on charging and tracking students per session using attendance flags.

Only Admin users can create Attendance Flags.

Clipboard has two key features that will help you keep track of what a student owes at the end of each term for private tuition or coaching, such as violin or tennis lessons. How you manage this will be dependent on what policies you have in place for individual tuition.

Here are a few examples of how some schools are managing this:

  • If a student gives 24 hours notice, generally the student does not pay for the lesson.


    The best practice on Clipboard is for the tutor to cancel the session in Clipboard and reschedule as they normally would. Attendance is not recorded because the Session does not happen.

    However, if you Mark a roll and then cancel a Session, this will still result in the Session being on included on an Attendance Export. This is because the Attendance Exports produce results for any results regardless if the Session was cancelled.

  • If a student doesn't show up, parents are still charged. Here, the tutor marks attendance as absent unexplained with an Attendance Flag Charged. This will record that the student was absent, but still should be charged for the lesson.

  • If a student does not show up due to a school event, the tutor marks attendance as absent explained with an Attendance Flag Not Charged.

Using Attendance Flags is particularly good if you want to track in depth detail about what students should be charged each term. Schools will have tutors use them when marking rolls. At the end of the term, Admins can do an Attendance Export of Student Records which will provide this data for the Activity, you will be able to see who was flagged with Charged or Not Charged, as well all other students who were marked present who will also be charged for the lessons.

See the image below for an example of an Attendance Record Export (The Student Records Export) for 'Violin Tuition'. You can see that Tim Reed had one Session he was present for and one unexplained absence for which was flagged as Charged and another Session where he had an explained absence which was flagged as Not Charged for. Therefore, Tim's parents owe for two violin lessons.
