What is Activity Selection?
Activity Selection is an extra Module that schools can add to their Clipboard subscription to manage Activity selections easily and efficiently! It facilitates the selection of extracurricular Activities for students during a school term, semester, season or year.
Using Activity Selection, schools can allow students and/or parents to:
Sign up for sports trials for in-demand activities
Register for music ensemble auditions
Enrol in individual music tuition
Express interest in upcoming co-curricular activities and events, such as debating competitions, school musical and drama productions, special interest groups and clubs
Process payments via Stripe upon selection
Benefits of Activity Selection
With Clipboard's Activity Selection module, you can:
Set a close date for selections, allowing students and parents to see when Activity Selection closes
Set selection requirements, such as who can select Activities. For example: Do you only want guardians making selections? Or do you want to allow senior students to select their Activities and have only guardians select on behalf of younger students? Or can all students have the ability to make selections? You can also set a minimum and maximum number of Activities that can be selected within a Department. This is useful if you want every student to participate and choose at least one Activity in Sport, Music or Co-curricular, or prevent them from choosing too many.
Provide a description of the Selection Group. You can include URL links to school policy documents, provide more information about the Activities on offer and who is eligible to select them
Set requirements for each Activity offered, such as age, year group, gender and maximum places available. You can also provide details of the costs involved to students and parents and the hours per week they would be expected to be present to participate. Creating multiple selection options that display separate pricing, tagging, and eligibility requirements is also possible. If you have a specific cost code associated with this activity, you can add it here
Set required or optional custom fields with options for text, dropdowns and checkbox formats. By using custom fields, you can ask questions that will help sort students into Teams and Positions within Teams. For example: What instrument do you play? What is your preferred position?
Create an Activity Selection with options for different student cohorts. For example: Open one Activity, Swimming, for the Year 7 group at one price and for Year 12 students at another.
How does it work?
Admin users set up Activity Selection in the Clipboard app, choosing the Activities on offer, when they will be offered and setting requirements and custom fields
Students and/or guardians access Activity Selection through the Clipboard Portal, where they make Activity selections based on the options provided by the school. Clipboard already knows the students' identities, so parents and students don't have to provide extra details like their names, student codes, and year groups. If you have external students and guardians added to Clipboard, they can also make activity selections!
Manager and Admin users access student selections through the Clipboard app and sort students into Teams for their Activities
Why should we use Activity Selection?
Clipboard's Activity Selection module streamlines the activity selection process, allowing school staff to easily view and manage student activity choices. After selections are made in your school-branded portal, Manager and Admin users can log in to the Clipboard app and efficiently allocate students to Teams within the Activities they have chosen by clicking 'Place in Teams' and entering Team Power View (see image below). To assist in the allocation of students into Teams, we provide four different exports:
Activity Selections - which list all selections made in that Selection Group
Eligible but not selected - a list of students who qualify according to the Activity requirements but have not yet made a selection. This export also considers the Activity Selection Group's maximum number of Activity requirements. To access this export, you must filter by the Activity and the Selection Group you wish to export.
Field Responses - answers students or guardians have given in response to the custom fields.
Yet to Select - a list of students who have not yet made a selection (if selecting an Activity is required). This export looks at the Activity Selection Group requirements
Our Activity Selection module also allows for great customisation, as detailed above, with the ability to set selection requirements and custom fields. Here are some examples of Activity Selection's versatility:
Create a question that asks if the student was involved in this Activity in the previous term, semester, season or year. This helps schools allocate first preference to students who currently participate in that activity, e.g., first choice to existing basketball players and first choice to existing choir members
Set the maximum places available for an Activity or Options within an Activity to ensure that student selection doesn't exceed capacity
Create a custom field with dropdown options to allow students to nominate their preferred Team or other preferences within the Activity
Export Activity Selection choices to view the order in which students made selections, ensuring that those who selected their Activities earlier receive preferential placement into a Team, over those who selected later
Offer multiple options to Junior and Senior Students within the one Activity, with separate requirements and pricing, and allow for one or more choices to be set
