Only Admin Users can manage Additional Fields.
Do your music tutors or tennis coaches need to schedule a half- or double lesson for students, and they charge a set payment rate per lesson?
Adding this Additional Field to private music/sport Sessions allows staff to:
Schedule fewer or more than one normal lesson-length Session for the same student that week
Schedule make-up lessons (the student was sick one week and wants to combine a make-up lesson with their normal lesson) or lessons in advance (the student will be away one week in the future, but will be available for a double lesson the following week).
Show, for billing purposes in the Attendance Summary, that the lesson length was shorter or longer than usual.
Add this Additional Field to select a Tuition type when creating a Session. It will generate accurate attendance, invoicing, and accounting reports, particularly for schools that ask for lesson payment at the end of the term, once all lessons have been given.
As an example, when a Session is set as a half Session and the student is marked present in the Attendance Summary report, this will display as 0.5 in the ‘Present’ column:
When manually generating an invoice from the Attendance Summary page, at the end of term, it will correctly calculate the amount due for that Session:
This data will also be displayed in the Attendance Summary Grid report:
A half-Session will be charged at half the lesson rate. A Double Session will be charged at twice the lesson rate, and so forth.
To set up the Tuition Session type field to appear on Sessions in the Schedule:
Click 'Create' in the top right corner and select 'Tuition Session Type'.
Change the configuration by selecting the Activities or Department where this field should display and where you would like it to appear within the Session modal.
Once the Additional Field is set up, it will display in the Session modal. Managers, Admin and Staff with the Extra User Access Option assigned to the Activity 'Create and manage Sessions for themselves for this Activity', can select the preferred option from the pull-down menu and assign the Tuition Session type - Half Session, Single Session, Double Session, or Triple Session.
