What does 'potentially absent' mean?
Potentially absent means that a student may be absent from a Session or Fixture for an explained reason. This happens if:
A student is marked as absent from a class during the school day. This attendance information is then synced to Clipboard from the SIS via Integration.
A student or their parents have notified the school of their absence in advance, and a Manager or Admin user has added a pre-explained absence in Clipboard.
3. A student is marked present at another Session or Fixture that is scheduled on Clipboard at the same time. For example, John Smith is marked present at Year 7 Cricket Practice. Consequently, he will show as potentially absent on the roll for Band Rehearsal, as he is already present in another Session/Fixture and shouldn't be marked present in both places. The student can also be marked as an unexplained absence if they didn't attend either session.
Potentially absent will be displayed when you mark a roll, after you mark a roll, and if you update a roll.
Why are explained absences shown as 'potentially absent'?
All explained absences are displayed as potentially absent when marking a roll for two reasons:
To alert staff marking the roll that a student is likely absent for an explained reason.
To allow staff marking the roll to have a choice to mark the student as present, for example, if they returned to school early from a doctor's appointment they attended during their lunch break.
Remember: All explained absences (both via Integration with your SIS or from adding them in Clipboard) are labelled as potential absences. They can be marked as present or unexplained absent if needed.
