Only IT Admins can view, create, assign and edit Roles in Clipboard.
Roles are a way to specify users' access rights within Clipboard. They do not grant access; they only restrict it. Roles can be created and then assigned to users from the Staff List.
Note: If your school has restricted the ability to add staff to Clipboard to Finance Admins only, this will also restrict the ability to create and manage Roles to Finance Admins.
Why and how would I use the Roles feature in Clipboard?
Check out these case studies that will give you a better understanding of how this feature might be applicable in your school:
A 'Physio' Role
A 'Manager' 2.0 Role
A 'Receptionist' Role
A 'Rental & Maintenance' Role
A 'Classroom Teacher' Role
A 'Senior Leadership' Role
A 'Student Coach' Role
To create a Role:
Go to the Staff List tab
Click More (top right)
Select Manage Roles from the dropdown menu
Click Create (top right)
Name your Role and check the boxes that you wish that role to have access to. You can choose if they have access to read, write or both.
Save (bottom right)
Note: Read access means they can only read that section. Write access means they can create and edit within that section.
To assign a Role:
Go to Staff List
Search and select the staff profile you want to assign the Role to
Click the Edit/Pencil icon to edit under the Basic Details section
Select the User Role from the drop-down menu
Save (bottom right).
Top Tip: To edit a Role, simply go to Manage Roles, select the Role you want to edit, and click Edit (bottom right)!
Should my user be an Admin or a Manager?
The key difference between Admin and Manager roles in Clipboard comes down to scope of responsibility.
If you want your user to oversee a specific Activity, make them a Manager. Managers have permissions focused on individual Activities and can handle day-to-day operations like creating Sessions, managing Teams, and marking attendance for their assigned Activities.
If you want your user to oversee an entire Department, make them an Admin. Admins have broader permissions across multiple Activities within their Department and can manage higher-level functions like user permissions, Department-wide settings, and system configurations.
