SIS Roll Over – Managing Activity Selection
If the Activity Selection time frame is open when the SIS rolls over, resulting in students' changing year groups, there are three options for managing Activity Selection:
Option 1 - Manual Updates
Following the SIS rollover, manually update all Activity Selection year group requirements in Clipboard.
Option 2 - Turn off the SIS Integration
Turn off the SIS integration in Clipboard until the Activity Selection Groups have closed.
New students or updated student/guardian information will not be updated while the SIS integration is turned off.
Option 3: Activity Selection Groups Time Frames
When setting up Activity Selection Groups, set the Open and Close time frame either before or after the SIS integration rollover. This will prevent the SIS roll from affecting the year group requirements in the Activity Selection Group.
Teams
If you do not name your Teams after a year group, refer to the "Best Practice for Changing Teams at the End of a Term, Year, or Season" article to learn how to manage Teams at the end of the school year, term, or season in Clipboard.
Managing Teams Named by Year Group
If you have Teams named by year group, for example, "Year 7 Basketball Team", do not rename the current Team when the next academic year starts. Instead, you must manually move students into the new Team for the next academic year.
Clipboard does not automatically move students to the following year’s Teams; this update must be done manually.
Follow the steps below to move students into the correct year group Teams:
Navigate to the Teams Tab.
In Current Teams, click on the Actions button.
Click on Manage Teams.
Select Upload Team Lists.
Download the template with the existing Teams.
Copy and paste the Teams into the correct year groups.
Upload the Spreadsheet into Clipboard.
