Creating Resources

This article outlines how to create Resources such as musical instruments and sports equipment in Clipboard.

Overview

If you have musical instruments or sports equipment to keep track of, you can use the Resources feature on Clipboard.

Documents now sit separately from Resources. Check out the Uploading a Document support article for more information on Documents.

How to add Resources

  1. Navigate to the Resources page from your left-hand panel

  2. In the right corner, click Create. You will see an inbuilt spreadsheet. This allows you to easily create a single resource or many resources in bulk.

  3. In the dropdown filter, select the Department or multiple Departments and the Category under which the new Resources will fall.

  4. Manually enter or copy and paste the Resource details into the spreadsheet. This includes:

    • Subcategory (optional)

    • Title, Description (optional)

    • Reference Number

    • Status

    • Barcodes

    • Tags

    • Location

    • Notes.

    • Rental Price

  5. If you have Additional Fields set up for Resources, they will show as extra columns at the end of the spreadsheet. Need to add an Additional Field? see our FAQ below.

  6. When you are done, click Create.

Adding attachment files to a Resource

If you wish to add attachment files to a Resource, you can do this by going to one of your Resource items:

  1. Click on the Resource.

  2. In the Resource Details card, under Attachments, click Upload File.

  3. Use the drag-and-drop function or click to browse to find the file you wish to upload. Click Upload.

  4. You may upload files up to 20MB, and you can upload multiple files to a resource.

Managing Resources

You can easily edit the details of any Resource by clicking on the specific Resource and selecting the Edit button in the top right corner.

Note: You cannot edit the status of a Resource from this page. Instead, in the Resources list view, you can only manually mark a Resource as Available if the status is Unavailable, or Mark as Unavailable if the status is Available. Select the tick box of the Resource and use the More button in the top right corner.

FAQ

When creating a Resource, how do I create a new Additional Field?

  1. Click Create.

  2. Click on a template option. Please contact support to assist if you need one that’s not listed.

  3. Fill out all areas, including the field type, whether you want it to show for Resources, Sessions, or Fixtures, and which Departments or Activities this field will apply to.

  4. When it's finished, please click Save.
