Staff User Guide

The best starting guide for a new Staff User. This article provides an explanation and directions on relevant features to them.

Whether you’re a sports or debating coach or you casually conduct the Junior Choir, Clipboard will free up your time to focus on your role and improve student outcomes. Say goodbye to multiple manual systems and farewell to pens and paper!


As a staff member with Clipboard, you are responsible for the teams you have been assigned to.
As a staff member with Clipboard, you can:

  • Check your scheduled sessions

  • Receive notifications of session updates

  • See your allocated teams and their members

  • See teams results

  • Mark rolls and see student rolls with attendance of sessions and teams

  • See student's medical conditions when marking the roll

  • Report incidents

  • Add hours to your timesheet (if you are being paid with timesheets)

  • See other staff members, managers and admins' contact details from the same Activity

  • Access resources

  • And much more if given extra staff user access options for an activity.

1. Getting Started

You can log in to Clipboard at go.clipboard.app

Add Clipboard to your Mobile Home Screen

We are a web app, so you won’t find us in the app store. Follow these steps to save the Clipboard app on your home screen on Android or iOS.

2. Scheduling

Easily keep track of your sessions from any device, so you know exactly where you need to be. Your sessions are assigned to you by your Manager and will automatically appear in your Schedule.

Syncing Clipboard to your Calendar

You can follow these steps if you want your Clipboard Schedule to appear in your calendar app of choice (e.g. Apple Calendar or Google Calendar).

Add your Unavailability

Do you have a University or another job that prohibits you from working a few days each week? To avoid being scheduled onto sessions you cannot make, you can quickly inform your Manager of repeating or one-off unavailabilities by Adding Unavailabilities

3. Attendance

Mark a roll

Clipboard streamlines the process of marking a roll, allowing you to record student attendance at a session from any location on your mobile device. You can keep a roll by clicking on a Session that you have been assigned, finding the Attendance section, and selecting ‘Mark roll’.

Our roll marking feature also allows you to see which students currently have an injury and are not allowed to play and lets you assign Flags to students so you can track things like who has arrived late or has an incorrect uniform. If your school has chosen to share medical information on Clipboard, you’ll also be able to stay on top of medical conditions (e.g. allergies or illnesses) within your team.

4. Team Management

Clipboard’s Teams Page lets you view and manage all the students within the Teams your Manager has assigned you to and provides detailed information and analytics.

Score Statistics

Within any Teams page, you can see a breakdown of your team’s Wins, Losses and Draws throughout a given Season.

Marked Rolls and Team Attendance Summary

An overview of previously marked rolls is accessible via the Teams Page, and statistical breakdowns of Absences and Flags throughout a given time period.

Our Team Attendance Summary provides visibility over students’ attendance throughout the Season, term or year. To view an Attendance Summary, follow these steps.

Request to Move students between Teams

Clipboard allows you to conveniently organise students into teams through seamless drag-and-drop functionality. Find out how to move students between teams here.

Note: Clipboard requires Admins/Managers to approve these moves.

Jersey numbers

Do you want to assign a jersey number to a specific student? Clipboard lets you do this!

Team Captains

Elect student captains easily with this quick guide.

5. Fixture Results

Record a result

How did your team perform? You can effortlessly let your community know by recording the result right after the game has finished! You’ll also be prompted to leave match feedback, a great spot to identify stand-out student performances. Here’s how to record a score.

Edit a score

Accidentally mistype the score? Don’t worry; you can fix it.

6. Report Incidents

You will only have access to this if your school has this module included in their subscription.

Whether you’re a sports coach or a music tutor, accidents happen! Clipboard’s Incident feature helps you uphold your duty of care by quickly reporting an injury or incident, automatically notifying the relevant people about it.

7. Timesheets

You will only have access to this if your school has this module in their subscription.

Add hours to your Timesheets

Make sure you get paid by adding your hours on Clipboard! Here’s a quick guide to show you how to log a timesheet. The best part about it? No paper!

Add hours for a shift not in your Schedule

Did you cover an extra training session or rehearsal? Make sure your Manager knows! You must take the initiative and add those hours; here’s how.
