Managing Unmarked Rolls

Read the steps below to learn how to manage unmarked rolls.

This article is intended for Admin and Manager users.

Accurate attendance tracking is essential for ensuring the duty of care to students. However, staff may occasionally forget to mark attendance for each session or fixture, leading to a backlog of unmarked rolls. This can become overwhelming for Admin users to manage. To address this, many schools assign the responsibility of following up on unmarked roles to the Managers of individual activities.

Clipboard provides a proactive follow-up method that enhances the roll-marking reminders, helping you maintain your duty of care while keeping your workflow smooth and efficient.

Currently, staff users are automatically reminded to mark their rolls in the following ways:

  • Unmarked rolls appear on their homepage.

  • They are sent via selected notifications. Once set up, these notifications are sent one hour after the session or fixture ends and again three hours later if the roll has not been marked.

How to Manage Unmarked Rolls Manually

Option 1 - Email Directly from Clipboard

You can easily follow up on unmarked rolls directly from the Attendance page by sending personalised reminders to staff via Clipboard.

To do this, follow the steps below:

  1. Go to the Attendance page and navigate to the 'Unmarked Rolls Today' section.

  2. Select 'Email Staff'

  3. A pop-up will appear with two options:

    • Copy Addresses (to paste into your email program)

    • Send from Clipboard (to write and send an email directly from Clipboard)

The image shows a list of rolls not marked with an option to Email Staff.

Option 2 - Attendance Export

You can export attendance for unmarked rolls by following the steps in the Attendance Exports article.

Managing Past Unmarked Rolls

If the unmarked rolls are for sessions that occurred over a week ago, a staff user will not be able to mark them. Instead, a Manager or Admin user will be required to mark the roll. However, you can still follow the process above by email to check with the assigned staff and determine the attendance for that session or fixture.
