This article will assist you in understanding some new Clipboard terminology, determining what you should do if you encounter any errors when creating and editing Fixtures, and will also address some frequently asked questions about Fixtures.
Matching up Columns:
When you copy and paste your own Fixtures data into Clipboard it does not need to be in a Clipboard-specific format. Instead, after you paste or upload this data, Clipboard will ask you to “pick a field” to match the column’s data to a field, for example, Date, Activity, Team, Opponent etc. As shown in the image below, the row across the top is where you can select the field that will match up with your data.
What if I can’t match up my data to a column?
If you cannot find a match for your data, then it simply means the data you have shared is not required in Clipboard.
Creating Fixtures FAQ's
Can I delete any Fixtures that were accidentally copied or uploaded from my spreadsheet?
Yes, you can! Simply scroll across to the right of the spreadsheet and click x to delete the row. If you want to edit this Fixture instead, you will need to wait and go to the next step.
How do I clear my spreadsheet?
Simply click 'Start Again' at the top right. Or click the top left corner of the spreadsheet, which will highlight all cells, and then click delete on your keyboard.
How do I know if I am creating duplicate Fixtures?
Clipboard will notify you if you attempt to create duplicate Fixtures (see the example of the error message below). We advise you to choose the ‘Cancel’ option to resolve this warning and prevent duplicate Fixtures from being created.
Why am I getting errors about round names?
You can find answers in this article on Fixtures - What is a Round?
Why does my spreadsheet have warnings and alerts?
You may see alerts in your spreadsheet (shown in red) when attempting to create Fixtures that lack the required fields, e.g. Team and Start time. These are required to be resolved before the Fixtures can be created successfully.
Warnings, on the other hand (shown in orange), are suggested changes to make to the Fixtures you are attempting to create that point out issues such as duplicates or Round name inconsistencies. These are optional to change before Fixtures are created.
Fixtures in the Schedule
How will my Fixtures appear in the Schedule after creation?
Fixtures appear as Rounds in the Schedule and are grouped together by date and Activity. See the image below to see how Fixtures appear on the Schedule page:
What do draft, unconfirmed and confirmed Fixtures look like on the Schedule?
In the Schedule draft, unconfirmed and confirmed Fixtures appear differently so as to make it clear to users that each of these statuses is different from the other. Have a look at the image below to see what the three types of Fixtures would appear in the Schedule for students and staff:
Confirmed Fixtures: these are fully coloured in blocks, similar to any other Session in the Schedule. E.g. 7F Rugby vs. Sharepoint School is a confirmed Fixture. These can be seen by all Clipboard users, parents, and students (if you have the Digistorm integration or use the Clipboard Portal).
Unconfirmed Fixtures: these are the coloured blocks with diagonal lines through them. E.g. 9B Basketball vs. Sharepoint School. These can be seen by all Clipboard users, parents, and students (if you have the Digistorm integration or use the Clipboard Portal). This status generally indicates that details of the Fixtures could change at a later date.
Draft Fixtures: these are the blocks that aren’t fully coloured in yet. E.g. 1sts Debating vs Joeys. They can only be seen by Admin and Manager users and indicate that creating these Fixtures is still a work in progress.
Editing Fixtures
How do I edit the title of an individual Fixture?
If you want to edit the title of an individual Fixture within a Round, you need to edit the Team and/or the opponent on that Fixture. The title of the Fixture is determined by which Team is playing and who their opponent is. So if you edit either or both the Team and the opponent, the title will change too.
How do I change the status of Fixtures:
Simply click on the Round to view the individual Fixtures, then tick the boxes to select the Fixtures or tick the top box to select all Fixtures within the Round. Then click on More Actions and select change Fixtures status to Confirmed or Unconfirmed. The status will then be updated for staff, students and parents.
Features of Fixturing
How can I view all the Session Feedback from a Round?
You can view all Session Feedback when you export the Round. It will appear in the final column under 'Feedback'. If you want to see Session Feedback from an individual Fixture, simply click on the Round in the Schedule and select the Fixture in question. Session Feedback appears at the bottom of that page.
Can I export a whole Term or Year's Fixture data?
Yes! You can export an entire Round of Fixtures for multiple Activities over a period of time, and you can also export multiple Rounds of Fixtures at once by changing the date range and Round to "Any" (see image under next question). By doing this, you can view all Scores and Session Feedback in one place! If you’d like to read more on how to do this, you can do so here: Export Fixture Reports.
Check out the video below to see how to export multiple Fixtures in Clipboard!
Can I email Teams from the Fixtures page?
Yes! Clipboard allows you to email the Teams directly from the Fixtures page by visting 'More: Email', as pictured below. You can email students, parents, or staff in one or more Teams from here. Your email will include your school's logo, indicating that it is official school communication.
Can I view more than one Round of Fixtures?
Yes, you can! Simply usethe filter shown in the dropdown menu in the image below to select more than one Activity, Round and Time Period.
