FAQ
Overview
Wonde is an integration platform that enables schools to securely control the movement of data from their Student Information System (SIS) to any of their approved third-party applications, removing the need to develop custom integrations, use manual CSV uploads or perform additional data entry. Wonde ensures schools have total control of what data they share and with whom they share it.
Clipboard uses Wonde to integrate with your SIS for several reasons, such as:
Wonde is used by 23,000+ schools globally, and their Australian office is in Sydney.
Clipboard and more than 200 other companies use Wonde to connect to a school's SIS. Chances are there are some of your other products already use Wonde.
They're General Data Protection Regulation (GDPR) compliant.
It's an end-to-end encrypted connection between Clipboard and your SIS.
They are hosted on Amazon Web Services (AWS), and all data stays in Sydney.
Using Wonde will allow us to write back to the SIS in the future.
Wonde is free for schools!
By letting Wonde handle the integration, it allows our team to put more time into improving and developing the Clipboard app instead of spending time on integration work.
If you would like more information on Wonde, please look at their websites: https://wonde.com/au and https://wonde.com/au/schools.
Wonde have created some informative documents on their website that outline their policies around Security Information, Privacy Policy, Data Handling, School Data & The Privacy Act. These documents can be found here.
Set up an integration via Wonde by following the steps in our Integration guide. At Clipboard, we integrate with your Student Information System (SIS) via Wonde to pull four main data types into your Clipboard environment.
Check out this article to understand why we use Wonde for our integration.
What Data is Pulled?
Clipboard syncs four key pieces of data from Wonde:
Students
Guardians (parental contacts)
Attendance
Medical Conditions
The data and fields that Wonde can provide Clipboard also depends on your school’s SIS. Different SISs have different compatibilities with Wonde. This Google Sheet provided by Wonde outlines what data is supported for each SIS. Consult this Google Sheet if you have questions about your SIS's compatibility with Wonde.
IT Admins can also control which data permissions Clipboard receives in Wonde. For example, your school may choose not to allow specific data to be pulled by Clipboard.
You can refer to Wonde’s API documentation for further information about their data model.
Students
Clipboard pulls the list of current students in your school from Wonde. Students are uniquely identified by their SIS ID, often the “PK” field in your SIS, and is referred to by Wonde as the “mis_id”.
Clipboard pulls all current students who have a valid year group. The main fields pulled are: name (legal and preferred), SIS ID, year group, house, email, date of birth, boarder (yes/no), and gender.
The year groups that appear in your school's Clipboard account are pulled according to the data in your school's SIS. For example, if you have a "Pre-K" year group in your SIS, then the year group will appear as "Pre-K" in Clipboard.
Homeroom can also be pulled from your SIS for each student in Clipboard. It’s pulled from Wonde as a group of type REGISTRATION. You must update Clipboard’s Wonde permissions in the Wonde portal to pull Homeroom.
If you would like more information, please refer to the Wonde API documentation on students.
Guardians (Contacts)
Clipboard pulls “guardians” from the Wonde "Contacts" data. Contacts are only pulled into Clipboard as student guardians if the following conditions have been met.
Inclusion conditions - Meeting any of the following conditions would allow the guardian to be linked to the student, provided none of the exclusion conditions are matched:
Include the guardian if the “correspondence” is set to true
Include the guardian if they have one of the following relationships(see X list)
Include the guardian if living with the pupil is true and they have one of the following relationships(see Y list)
Exclusion conditions can be any of these:
Should exclude guardians if “correspondence” is set to false
Should exclude guardians if “email_notification” is set to false
Should exclude guardians if “court_order” is set to false
Guardians are linked with students based on the relationship and the conditions above. The following checkboxes are part of the Wonde integration setup page for guardians.
This is now legacy logic:
They have the “correspondence” flag in Wonde; OR
They have one of the following relationships with the student (see X list) AND:
They don’t have a “court order” flag; AND
They don’t have “no” (false) for the “email notification” flag; AND
They don't have “no” (false) for "correspondence".
They have “live_with_pupil” (true), and they have one of the following relationships (see Y list).
X: ‘Adopted’, ‘Father’, ‘Mother’, ‘Guardian’, ‘Parent’, ‘Carer’, ‘Step Father’, ‘Biological Father’, ‘Step Mother’, ‘Biological Mother’, ‘Father/Guardian’, ‘Mother/Guardian’, ‘Step Father/Guardian’, ‘Biological Father/Guardian’, ‘Step Mother/Guardian’, ‘Biological Mother/Guardian’, ‘Caregiver’, ‘Divorced’.Y: ‘Uncle’, ‘Aunt’, ‘Grandparent’, ‘Grandmother’, ‘Grandfather’.
The main fields pulled are: name, SIS ID, primary phone number and email.
Please refer to the Wonde API documentation on contacts if you would like more information.
Some Synergetic schools use the Portal Flag to determine whether communication with parents should be made. Please note that Wonde is unable to read this flag.
The issue of court order flags often comes up with pulling parent and guardian contact details into Clipboard. To ensure access to parents with court orders is denied, you need to approve the permission for Clipboard to see that field in the Wonde Portal, so Clipboard can know which parents have court orders for which students.
This denial of access is made by Clipboard: the setting shown in the Wonde Portal is just providing the boolean true or false value for this property to Clipboard, which will then deny access to the relevant students for all parents who have court_order = true for those students. If you don’t give us the permissions on court_order, we will still get every single parent, but we won’t have permission to see if they have a court order.
TASS Schools:
To ensure guardian details are synced correctly, Wonde advises using address_person_posn to help them identify the corresponding parent's details. For example, use address_person_posn and enter (1) to sync the guardian in the first position, enter (2) to sync the guardian in the second position and so on. The same goes for email and mobile fields: for guardian (1), use email and mobile_phone_1; for guardian (2), use email_2 and mobile_phone_2.
Have split families? Or more than 2 guardians for a student? Set up your TASS to pull in all guardians with email addresses and phone numbers.
See the example below of pulling three guardians into Clipboard:
Your TASS setup will need to be as the following:
Medical Conditions
Clipboard pulls medical conditions from Wonde Medical Conditions. The conditions pulled are the ones relating to current students. They are then stored on the relevant student in Clipboard as a “Medical Condition”. Staff members can also see the student's medical conditions when marking the roll.
Below is a list of medical condition fields available to sync from Wonde to Clipboard:
GET Medical Conditions mapping: Wonde Field > Clipboard Field:
description > Condition
severity > Severity
Any medical notes included with the condition in your SIS will be created as separate conditions.
In your Wonde portal, sharing the permissions for 'Medical Events' and 'Medical Notes' is entirely optional. At this stage, Clipboard does not store this data.
If you would like more information, please refer to the Wonde API documentation on medical conditions.
Absences (Attendance)
Clipboard pulls a list of absences for the current day from Wonde Lesson Attendance and Session Attendance. Clipboard only regards the Attendance data from Wonde where the student is indicated as absent.
The Attendance data in Wonde, where students are absent, is pulled into Clipboard and stored as a Pre-Explained Absence in Clipboard. In addition, if your school uses Synergetic or Sentral as their SIS, you can sync in Absences from Wonde. An absence is a more general absence (e.g. "Doctor's appointment") as opposed to marked class attendance.
If you would like more information, please refer to the Wonde API documentation on attendance.
We retrieve absence data for the current day and 30 days in the future. This should include any updates throughout the current day and any pre-explained absences for the upcoming months. This also means that Wonde-synced Pre-Explained Absences disappear from Clipboard after the day they were relevant for.
Wonde Permissions
In order for the Absence sync to work with Wonde, schools will need to enable permissions in Wonde, which can be done via the Wonde Portal.
If your SIS is compatible with Absences (Attendances) on Wonde, you will have to turn on and update the permissions for 'Attendances' and 'Absences' in your Wonde Portal.
Want to sync Absence data with TASS as your SIS?
At this stage, TASS (SIS) doesn't have Attendance/Absences available via their API, so Wonde can't pull this information. To have your Absence data synced to Clipboard, your school must set up the absence integration with our Database Connector. See our Database Connector Documentation here.
How frequently does Clipboard pull data from Wonde?
Clipboard pulls student, guardian and medical data from Wonde every night after midnight, e.g. 12am, 12:30am, and 1am, respectively.
Schools can manage the frequency of attendance data syncs in their Clipboard Integration settings. We advise that for attendance, a sync is set up to run multiple times a day to catch absences recorded in your school's SIS throughout the school day, e.g. 9am, 11am, 1pm, and 3pm.
Note: all data syncs from Wonde to Clipboard are constrained by the frequency with which data is synced into Wonde from the SIS.
Top Tip: A full data sync for each integration can be run by clicking the 'Run Now' button!
How frequently does Wonde sync with a school's SIS?
The frequency at which Wonde pulls data from the SIS is a setting configured by Wonde. Please reach out to [email protected] to find out how often the sync happens with your school's SIS.
Where can I check that the Wonde integration is working?
You can check this in Clipboard by viewing:
Manage Integrations - here, you can view when and how often an Integration is running and if it is switched on.
The integration logs - here, you can check if the syncs are successful and if data has been received from Wonde.
FAQ
How can I prevent unauthorised parents from syncing to Clipboard and accessing the portal?
Wonde offers a solution called "access control" to block parents or guardians from accessing Student Schedule and anything else in the Portal. Whether you need to handle a split family scenario or simply want to prevent unauthorised parents or guardians from accessing the Portal, you can achieve this through access control. This feature acts as an additional layer of security, allowing you to exclude specific parents from ever syncing. It can be configured per app and effectively blocks the parent from accessing the desired information. This solution is ideal for blocking parental access in such cases.
Below are instructions on how to use Wondes Access Controls:
Log into school.wonde.com/login
Select 'Clipboard' or other apps.
Select 'Access Controls'
Select 'Exclude access to certain users and allow access to all others.'
You can then search for the student/employee/parent that you would like to remove.
Select the user, and then they will be excluded from syncing to the application.
Does Wonde sync partial-day absences?
Yes, Wonde syncs all absences with the event type of:
'SignIn', 'SignOut', 'AllDayAbsence',
'ExpectedIn', 'ExpectedOut' and 'ExpOutAndIn'.
Some schools have the partial absences coming across most likely as a "Sign out" or "Sign in" event type - This would be a good way to trace an example with the school if something is wanted but missing.
Does Clipboard and Wonde sync Pre-Admission Students?
Depending on your SIS, Wonde can sync pre-admission students into Clipboard. You can check if this is possible here.
Clipboard filters out pre-admission students until the end of the following year. This means, for example, in the year 2024 - pre-admission students are filtered out to the end of 2025. This means students beyond 2025 will not be filtered into Clipboard when the Student sync is run.
How do we do this?
Access your Wonde Portal and turn on the Student Pre-admissions Permissions.
After completing this step, navigate to the Manage Integrations page on Clipboard and click 'Run Now' for the Student Sync. This action will initiate a full sync on Clipboard to include these students.
Does Clipboard sync students marked on Synergetic as 'Leave' but are a current student?
Clipboard does not sync in students that have the reason 'Leave' but are a current student. Wonde cannot pull this data, and has recommended moving this reason to 'Leaving' in your SIS if you wish to pull this current student into Clipboard.
What optional permissions do I need to enable in Wonde to integrate with Clipboard?
To integrate with Clipboard via Wonde, only the Student integration is required. The necessary permissions for this can be found in your Wonde Portal under the Required filter.
The integrations for Guardian Contacts, Medical Conditions, and Absences are optional but recommended. To pull data for these optional integrations, all relevant permissions must be enabled in your Wonde Portal.
