Managing Medical Conditions and Action Plans for Students

This article guides how to manage medical conditions and action plans for students within our system.

Medical Conditions in Clipboard are used to track and manage students' health conditions, ensuring that staff members are aware of any specific medical needs or potential emergencies. These records are essential for providing personalised care, especially in school settings where staff may need to respond quickly to health issues.


This process requires Admin or Manager access. If you are unable to complete any of the steps, please check with your Admin.

Adding Medical Conditions

Access the Student Profile: Navigate to the student’s profile you wish to edit.


Select Medical Conditions: Scroll down to the 'Medical Conditions' section.


Add Condition:

  • Click on the 'Add Medical Condition' button.

  • Describe the condition (Rich text supported)

  • Add in the severity

  • Save: Click 'Save' to update the profile.


Deleting a Medical Condition

  • Access the Student Profile: Navigate to the student’s profile.

  • Scroll down to the Medical Conditions Section: Find the condition you want to remove.

  • Delete Condition: Click on the red 'Delete' icon next to the condition.

  • Confirm Deletion: Confirm the action when prompted. (This will be permanently deleted)

Medical Action Plans

Medical Action Plans (MAPs) are essential documents that provide detailed instructions for managing a student’s medical conditions, especially during emergencies. These plans help ensure that staff or caregivers take appropriate actions quickly and accurately.

In Clipboard, there are two ways to add a Medical Action Plan to a student’s profile: syncing (from integrated systems) and manual upload.


Manually Uploading a Medical Action Plan

Access the Student Profile:

  • Log in to Clipboard and search for the student whose Medical Action Plan you need to upload.

  • Navigate to the student’s profile page.

Locate the Medical Section:

  • Navigate to Medical Conditions within the student’s profile.

  • Here, you’ll find any existing medical conditions listed. You will also be able to upload relevant Medical Action Plans.

Upload the Medical Action Plan:

  • Select the file you wish to upload. It can be in DOCX, PDF, JPG/JPEG, or PNG format.

  • Title the Medical Action Plan clearly, for example: "John Doe – Anaphylaxis Action Plan."

  • Optionally, add any additional notes or details, such as specific treatment steps or emergency contacts, to help identify the MAP.

Save the Medical Action Plan:

  • After selecting the file and adding any additional information, click Save or Upload to attach the MAP to the student’s profile.

  • The MAP will now be listed in the student’s medical section.

Please note: If you later enable SIS sync, it won't delete your manual uploads, though you might see some duplicates if the files aren't identical.


Syncing Medical Action Plans into Clipboard

Clipboard allows schools to sync medical action plans directly into the platform using the Database Connector and via the Compass Integration.

Compass Integration

A student's Medical Action Plan in Compass syncs directly into Clipboard and appears under the Medical Condition.

Prerequisites: your conditions must be active and visible to staff, and the attachment must be marked as current.

(Example configuration in Compass)

The Medical Action Plan must be attached to the medical condition to sync to Clipboard.

Viewing Medical Conditions and Action Plans

  • Navigate to the Roll: From the Home page, click on one of the rolls to be marked under ‘Unmarked Rolls’

  • Find the Student: Students with a medical condition are identified by the red cross symbol under their names.

  • View Medical Conditions: Click on the red cross symbol to view their medical condition.

  • View Action Plan: Click on ‘View action plan’


Viewing Medical Conditions and Action Plans from the Teams Page

  • Navigate to the Teams Page: Access the Teams section from the main menu.

  • Select a Team and Select a Student: Students with medical conditions will be identified by the red cross symbol under their names.

  • View Medical Conditions: Click on the red cross symbol to view their medical condition.

  • View Action Plan: Click on ‘View action plan’

FAQs

  • Can I add multiple medical conditions to a student? Yes, you can add multiple conditions as needed.

  • What should I do if I can't find a medical condition in the dropdown? You may need to check with an Admin User to ensure the condition is listed in the system.

  • Who has access to view medical information?

    Adding medical conditions is typically restricted to users with Admin or Manager access. All Staff Users assigned to a Team or Session can view medical conditions and medical action plans for students linked to that Team or Session.

  • Will an integration from the SIS override medical conditions that were added to Clipboard manually?

    No.

  • Does Clipboard store Medical Condition data after it's removed from the SIS?

    Clipboard retains a copy of synced data for approx. 2–4 weeks before automatically deleting it. During this time, the data isn't visible or accessible to users in the platform.

  • What happens when an attachment is updated or replaced?

    Clipboard always displays the most recently synced attachment. Previous versions are kept in storage for approximately 2–4 weeks but aren't accessible to users, and are then automatically deleted.

  • Can IT Admins view the raw Medical Condition data?

    Yes, via the Integrations >> Logs page in Clipboard. If the payload is too large to display, contact Clipboard team for assistance.
