When creating Teams, it is advised to follow some best practices for naming them to avoid duplication, confusion, and additional work for Admins and Managers to manage the Teams.
This article provides a guideline to ensure Teams are named appropriately and consistently.
Our documentation refers to 'Teams', as does the Clipboard App by default, but you can change this to display as 'Groups' instead if you prefer. Head to your initials in the top right > select Profile > edit Preferences. This is just a visual change and has no impact on functionality.
Best Practice
Keep it simple; add a simple, specific name without any additional detail.
✅ Ballet Grade 3
❌ Ballet Grade 3 Thursday 4:30pm
The Session time is not necessary to include in the Team name. The staff, students and parents associated will know the Session time as per the Schedule. Keeping the Team names simple also makes them versatile.
What to Avoid
Avoid including semesters, seasons, or years in the Team name.
✅ Open A Boys
❌ Open A Boys Winter 2023
Since Teams are used continuously throughout all terms, semesters, seasons, and years, including a semester, season, or year in the name is unnecessary. This can lead to unnecessary duplication and extra work for Admin staff members who must manage Teams over time.
If a specific Team only plays or trains in a specific semester or season each year, then you can use Team Categories to separate the Teams into Winter/Summer, Terms, or Semesters.
Remove years from Team names
To prevent unnecessary duplication and extra work, removing years from Team names is strongly recommended. Admin staff members can use the confirmation modal that pops up whenever a Team with a year in its name is created. The modal will only appear if 1+ Teams have a year in their name and will prompt you to double-check the Team name and ensure that the year is removed before creating the Team.
Do not include the Activity name in the Team name
Having the Activity name in the Team name is unnecessary since Admin staff members can filter Teams by Activities. The Activity displayed on the Teams page or Schedule will also be clearer. A Team's Activity will appear when creating Fixtures.
✅ Year 7 Girls
❌ Year 7 Girls Netball
By following these naming conventions, Admin staff members can ensure that Teams are named consistently and appropriately, reducing the likelihood of unnecessary duplication and extra work. If you have any questions or concerns, please do not hesitate to contact our support team.
